Keeping accurate records in a medical facility is incredible important to the overall running of the place. Occupational health reporting software can be a complicated piece to understand. There are a lot of benefits of electronic health records. However, if the health software for hospitals that is being used cannot be understood by the people using it then it won’t be considered a valuable way to keep effective electronic medical records. Here are some ways that records can be kept other than using occupational health reporting software.
Paper Filing System Using a paper system is the old fashioned way of doing things. Before there was occupational health reporting software, filing papers was the only way to do things. It’s easier to add notes, keep track and change information because you can always add things in to existing records along the side or somewhere else.
However, the problem with this method is that it is outdated. And it is outdated for a reason. It’s incredibly easy to lose the records when they are only on paper. A back up system would require using more paper which is a waste and bad for the environment anyway. It’s also a lot easier for any random person to gain access and make changes or falsify information or obtain information. If you have an electronic system then you have to use codes and passwords in order to get in.
Regular Electronic System An occupational health electronic database can be set up on pretty much any system that is the most user friendly to the people that are having to use it. This is a great idea if the people in the hospital are familiar with the modern technology that most computers and devices have. There are many programs that come as a standard offer when you buy computers and these are the ones that people learn to use the quickest.
On the other hand, by using a program that everyone is familiar with already, there are holes in the security system. Once people become familiar enough with a program, they can learn how to bypass certain security measures. If it’s a common enough piece of software, there is bound to be unscrupulous tutorials out there, showing people how to hack into the program to steal the information that they want.
Custom Occupational Health Reporting Software If you use a program that has been specifically designed for the facility that is using it then the designer will be able to add very specific security measures to protect the information. They will also be able to set up an auto back up system so that the information can never get lost, misplaced or misused. Another great thing about a custom program is that it will be exactly what you need. No extra features to confuse the users; it’ll just be exactly what you need, no less and no more. If you keep the contract with the program designer then later on down the line if you need to update, upgrade or add features, you still have the opportunity to do that. In fact, it’s a good idea to come up with a contract that keeps the designer on retainer not only to upgrade and update but in case anything goes wrong with the program while you are using it.
The only bad thing about using a customized system is that you are going to have to teach everyone how it works. The best way to do this is to set up a few classes so that a bunch of people can be taught at the same time. If you have the designer teach the class, it might be a lot easier for them to catch on. All they’ll need is an hour or two to be shown how to use the system and then play with it a little themselves. It doesn’t even need to be an all day thing.
Whatever method you choose, it just needs to be what will be right for your medical facility. There is no one size fits all answer and you may learn by trial and error and that’s alright as long as you get it in the end.
